Most Common Data Migration Mistakes in Dynamics 365 Finance & Operations and How to Avoid Them

The project is ready to launch. The data has been loaded, testing is complete, and users are waiting for the start. A few hours after Go-Live, however, it turns out that some customers are missing addresses, orders are failing the posting process, and the warehouse is showing mismatched stock levels.

The problem does not lie within Dynamics 365 Finance & Operations itself. Most often, the source of such situations is the quality of data migration. After a few projects, a certain pattern can be noticed—most problems stem from the same mistakes. The good news is that almost all of them can be prevented early enough.

Error 1: Treating Migration as a One-Time Import

This is one of the most common organizational mistakes. The team prepares the files, runs the Data Management Framework, and hopes everything imports successfully on the first try.
In practice, migration is a process that consists of many iterations. The first import very often serves only to detect data issues.

How to prevent this?

  • plan several full migration dry runs well before Go-Live,
  • record all errors and how they were resolved,
  • automate file preparation instead of manually fixing them before each attempt.

Each subsequent migration should be faster than the previous one. If you are making the same manual corrections every time, it means the process needs to be redesigned.

Error 2: Assuming Data From the Legacy System Is Correct

Clients often say, “But we’ve been using this data for years.”

Unfortunately, this does not mean it is of good quality.

In old systems, you can find, among other things:

  • customers saved multiple times under different names,
  • unused products,
  • outdated addresses,
  • missing values in mandatory fields,
  • records created solely for legacy processes.

If such data is transferred to D365 F&O, the problems will only become more visible.
Therefore, even before mapping begins, it is worth preparing a data quality report and deciding together with the business what should actually be transferred.

Error 3: Ignoring Dependencies Between Entities

Dynamics 365 F&O is a system heavily bound by relationships.

You cannot import everything in just any order.

For example:

  • a customer refers to an entry in the Global Address Book,
  • a product may require previously created groups, units of measure, or storage dimensions,
  • a vendor may use a configuration that does not yet exist in the system.

The results are import errors or only partially created records.

A good practice is to prepare a list of imported entities and determine the dependencies between them before the first migration, establishing the import sequence. This helps avoid much unnecessary analysis during the project.

Error 4: Ignoring Business Rules Embedded in the System

Data migration is not just about filling out columns in an Excel file.

A lot of information is validated by the business logic of Dynamics 365 F&O.

For example, the system may require:

  • proper number sequence configuration,
  • active tax codes,
  • existing customer or vendor groups,
  • previously configured module parameters.

If the configuration is not ready, even properly prepared data will not be imported.
Therefore, migration should be planned in parallel with system configuration, not just after it is completed.

Error 5: Lack of Automated Validation Before Import

In many projects, consultants open Excel files and manually check if everything looks correct.

With several thousand records, this method ceases to make sense.

It is much better to prepare a set of automated checks that, even before the import, will detect:

  • empty values in mandatory columns,
  • duplicates,
  • incorrect date formats, references to non-existent records,
  • values outside the permitted range.

Such a check takes a few minutes and can save many hours of error analysis on the D365 side.

Erorr 6: Focusing Solely on Whether the Import Was Successful

A green import status does not mean the data is correct.

That is only the first stage.

After each migration, it is worth answering a few questions:

  • Does the record count match the source?
  • Are the financial values consistent?
  • Can the business user perform a typical process on the imported data?
  • Do the reports show the expected results?

Only a positive answer to these questions means the migration was successful.

Error 7: Lack of Preparation for the Production Migration

In the test environment, everything works correctly, but during Go-Live, it turns out the migration takes twice as long as expected.

The most common reasons are:

  • a larger data volume than during testing,
  • an untested import sequence,
  • manual steps performed between successive stages,
  • lack of a contingency plan in case of an error.

Therefore, before the production launch, it is worth conducting a full migration dry run using the actual data volume and measuring the time of each stage. Such a trial very often reveals problems that are not visible on small test sets.

Summary

Most problems related to migration to Dynamics 365 Finance & Operations do not result from system limitations, but from the process.

Well-planned iterations, data quality control, knowledge of entity dependencies, and automated validation allow for eliminating a significant portion of errors even before the first import. The earlier problems are detected, the less they cost. And this is what most often distinguishes a smooth Go-Live from a weekend spent analyzing import logs.
