Data Migration – The foundation of a successful ERP implementation

Data migration is often treated as a technical “add-on” to ERP system configuration. In many projects, it takes a back seat to module setup or functional testing. Yet, it’s the quality and completeness of data that determine whether the new environment will be able to support key business processes on go-live day. Delaying this stage almost always leads to problems – from schedule delays to increased costs during hypercare. In extreme cases, lack of data preparation can completely block the system launch.

Why you can’t wait

A new ERP without correct and properly mapped data is like a factory without raw materials – technically ready to work, but useless in practice. Whether the migration is full or partial, it requires a precise plan, the involvement of many people, and tight coordination. Common mistakes include postponing data cleansing until the last minute, shifting responsibility solely to IT, or skipping a pilot migration. The result? The “mess” from the old system ends up in the new one, and issues only surface during final testing.

Business as the data owner

Data isn’t just a technical matter – it’s a business issue. End users will work with it, report results, and make operational decisions. That’s why the business must be involved from day one. They should validate and approve migration results and appoint a dedicated team to participate fully in the process.

IT’s role here is important but supportive – they handle the technical side, not the assessment of data quality or structure.

How to boost your chances of success

Best practices show that a well-executed migration starts with workshops to discuss the ETL (extract – transform – load) process, roles, and responsibilities. Next comes a pilot migration to identify problems and estimate the workload.

A few more migration cycles help eliminate errors and refine data mapping, taking legal and reporting requirements into account. It’s also crucial to jointly establish transformation logic – the implementation partner and the business must work hand in hand.

The hidden cost of “savings”

Companies that minimize the migration budget often end up paying more in the final project phase. Unprepared data causes delays, increases hypercare efforts, and leads to disputes over responsibility.

Apparent savings in this area can quickly turn into serious operational and financial risks.

The effect of well-prepared migration

Solid data migration means a smooth transition to the new system, fewer issues after go-live, and greater user satisfaction. It’s also a chance to organize and standardize data – from chart of accounts to material dictionaries.

Data migration is a strategic element of ERP implementation. Its success depends on early business involvement, a realistic schedule, several trial cycles, and clear role division. Investing in this process is an investment in a stable system launch and the efficiency of the entire organization.
