D365 F&O License Calculator

Wondering how much D365 Finance costs? You don’t need to understand the intricacies of Microsoft Dynamics 365 F&O licensing to accurately estimate your costs. Use the calculator, simply assign the number of employees to their daily tasks, and the tool will take care of the rest. The system will automatically select the most cost-effective plans in accordance with current Microsoft guidelines.

Describe your company’s needs and the calculator will select the D365 licenses

The client does not need to know license names. Simply specify how many employees perform particular tasks and whether they work with personal accounts or exclusively on shared devices.

Count each person only once — in the profile corresponding to their highest required scope. If an employee combines full roles across several areas, use the “Combined roles” section. Count each physical device only once, even if it is used for both warehouse and production functions.

Do not enter people already counted in the sections above. Profiles apply Base + Attach only to the same user. No Premium Attach SKU was identified in the price list, so two Premium applications are counted as two Premium licenses.

AI Agents and MCP access Optional

Account Reconciliation Agent and Supplier Communications Agent are described as Paid Public Preview. Features, pricing and the licensing model may change before GA.

The transaction-based alternative applies only to indirect access to specified tables. Direct work in the D365 interface requires a user or device license.

Purchase assumptions

Purchase minimums are calculated automatically and remain visible even when excluded from the total.

Product Terms confirm the purchase minimums but do not state a separate maintenance period in the table. The calculator conservatively assumes the required minimum should be maintained throughout the active subscription term and revalidated when the subscription changes or renews.

Intentionally excluded from pricing

The calculator does not add items that cannot be reliably priced from the provided sources.

Not priced: e-Commerce Tiers, Commerce Scale Units, Fraud Protection, Tier 2–5 sandboxes, Azure, implementation, migration, integrations, Project Operations, additional Copilot Credits, and additional storage without an unambiguous PL SKU.

Commerce Recommendations and Commerce Ratings and Reviews: End of Sale since February 2026. Fraud Protection is not shown as a Commerce entitlement in the March 2026 Licensing Guide.

The result is indicative. A user’s actual license depends on the highest-classified function, securable object or menu item available through assigned security roles. For named warehouse, production and POS workers, the calculator conservatively assumes Operations – Activity unless the current role table clearly indicates Team Members. Full users should not be counted again as Activity or Team Members. Role modifications, custom extensions, agents, MCP, integrations, indirect access and multiplexing may change the result. Operations – Order Lines applies only to indirect access to specified tables and transactions. Agents in Paid Public Preview may change features, licensing model or price before GA. Finance Premium and SCM Premium each include 1,000 Copilot Credits per user per month, but additional consumption requires a separate billing model. The final selection should be confirmed against the current Licensing Guide, Product Terms, the User Security Role report, and with a Microsoft partner or licensing specialist. Prices exclude implementation, migration, integrations, Azure, additional Copilot Credits, additional storage and other additional services unless explicitly added to the calculator.

Frequently Asked Questions (FAQ)

The calculator is used to prepare a quick, highly reliable cost estimation and budget plan. The final number and type of licenses depend on the physically assigned security roles in the system (so-called Security Roles). Before placing the final order, we always recommend verifying with our team to ensure you are not overpaying for features your employees will not use.

According to Microsoft rules (Product Terms), to start using an ERP-class system, an organization must meet the minimum purchase requirement. For standard base licenses (Finance, Supply Chain Management, Commerce), this is a total of 20 units, and for Premium licenses, it is 10 units. If the profiles you selected do not reach this threshold, the calculator automatically covers the missing difference so that the quote complies with the manufacturer requirements.

Microsoft uses a very favorable model for individuals who need full access to more than one area (e.g., a finance director who also oversees the supply chain). Instead of buying two expensive licenses, you buy one main license (Base) at full price, and each subsequent license assigned to the same employee (Attach) at a fraction of that amount. The calculator automatically includes this discount in the "Combined roles" section.

The choice depends on the specifics of shift work in your warehouse or on the production floor. If multiple employees across different shifts use a single workstation (e.g., a WMS scanner or a production terminal), purchasing a license assigned to the device (Device) is much cheaper. However, if each operational employee has their own equipment and personal account, personal access (Operations – Activity) is the right choice.

Yes, if you choose the advanced Premium series licenses (Finance Premium or Supply Chain Management Premium). Each such license contributes 1,000 Copilot credits per user per month to your company's shared tenant account. For other license types, intensive use of AI agents may require separate billing.

True external users - meaning those who are not your employees, permanent contractors, or agents acting on your behalf - do not require purchasing separate licenses in most scenarios (so-called External User Rights). However, if you hire an external accounting firm that works in your system daily, their employees will be treated as internal users and must possess appropriate licenses.

In most cases, yes. The Team Members license is the cheapest option designed for reading data from the entire system, generating basic reports, updating personal HR data, and approving workflows, such as approving cost invoices or purchase requisitions. However, keep in mind that to purchase it, the organization must hold at least one "full" license assigned to another employee.
