The final number and type of licenses depend on the physically assigned security roles in the system (so-called Security Roles). Before placing the final order, we always recommend verifying with our team to ensure you are not overpaying for features your employees will not use.
According to Microsoft rules (Product Terms), to start using an ERP-class system, an organization must meet the minimum purchase requirement. For standard base licenses (Finance, Supply Chain Management, Commerce), this is a total of 20 units, and for Premium licenses, it is 10 units. If the profiles you selected do not reach this threshold, the calculator automatically covers the missing difference so that the quote complies with the manufacturer requirements.
Microsoft uses a very favorable model for individuals who need full access to more than one area (e.g., a finance director who also oversees the supply chain). Instead of buying two expensive licenses, you buy one main license (Base) at full price, and each subsequent license assigned to the same employee (Attach) at a fraction of that amount. The calculator automatically includes this discount in the "Combined roles" section.
The choice depends on the specifics of shift work in your warehouse or on the production floor. If multiple employees across different shifts use a single workstation (e.g., a WMS scanner or a production terminal), purchasing a license assigned to the device (Device) is much cheaper. However, if each operational employee has their own equipment and personal account, personal access (Operations – Activity) is the right choice.
Yes, if you choose the advanced Premium series licenses (Finance Premium or Supply Chain Management Premium). Each such license contributes 1,000 Copilot credits per user per month to your company's shared tenant account. For other license types, intensive use of AI agents may require separate billing.
True external users - meaning those who are not your employees, permanent contractors, or agents acting on your behalf - do not require purchasing separate licenses in most scenarios (so-called External User Rights). However, if you hire an external accounting firm that works in your system daily, their employees will be treated as internal users and must possess appropriate licenses.
In most cases, yes. The Team Members license is the cheapest option designed for reading data from the entire system, generating basic reports, updating personal HR data, and approving workflows, such as approving cost invoices or purchase requisitions. However, keep in mind that to purchase it, the organization must hold at least one "full" license assigned to another employee.
