Business Central Team Members is not the general Dynamics 365 Team Members license. The right to update existing data does not provide unrestricted rights to create new transactions.

Shared devices

Count unique physical devices, not shifts or the number of people who use them in turn.

Employees must use the device only within the permitted device-use scenarios. A personal device used for full user functionality does not automatically qualify for a Business Central Device license.

External accountants

A special license for an external accounting firm or accountant working with the customer's financial data.

Up to 3 at no charge
External Accountant provides the use rights of the assigned Business Central scope, except for user setup and specified administrative tasks. It is not a general exception for all external users.
Optional — users already have another qualifying Dynamics 365 license

Business Central Essentials Attach is assigned to the same user and does not add Business Central database capacity. Qualifying base licenses: Customer Service Enterprise, Customer Service Premium, Field Service, and Sales Enterprise.

Automation with Business Central Agents

Sales Order Agent automates sales-order capture, while Payables Agent supports invoice capture, validation, matching, and approval.

Microsoft Copilot included with Business Central, 1,800 Azure AI seconds per tenant, and Copilot Credits are three separate entitlements. Credits may be purchased through pay-as-you-go, Copilot Credit packs, or a prepaid plan.
Additional applications for Business Central Premium users

Base + Attach exception: Business Central Premium may serve as the base license for Customer Service Enterprise, Field Service, or Sales Enterprise at Attach pricing. The calculator prices only the Attach license.

The quantity of each Attach license cannot exceed the number of Business Central Premium users. Do not apply this exception to Business Central Essentials.
Capacity and environments
The calculator uses the current Microsoft Licensing Guidance values: 80 GB per tenant, +3 GB per Essentials license, +5 GB per Premium license, and +1.5 GB per Device license. The Microsoft Learn “Managing Capacity” page still shows the older 2/3/1 GB values, so entitlements should be confirmed in the agreement and Business Central Admin Center.
External access and scenario compliance
Disclaimer: The result is indicative. The actual license requirement depends on features, permissions, company configuration, the Experience setting, extensions, agents, and the method of access. Business Central Team Members does not permit unrestricted document creation or posting processes on behalf of other users. Business Central Device applies only to specified shared-device scenarios. General external users cannot use the Business Central graphical interface, while External Accountant is a separate special license. Integrations, APIs, connection pooling, indirect access, and multiplexing do not reduce licensing obligations. Business Central Agents require a Business Central license, and running or extending them may require additional Copilot Credits, whose cost is not automatically included without the appropriate SKU or pay-as-you-go model. The final licensing choice should be confirmed against the current Licensing Guide, Product Terms, and with a Microsoft partner or licensing specialist. Prices exclude implementation, migration, integrations, Azure, Copilot Credits, and ISV add-ons unless explicitly added to the calculation.

Frequently Asked Questions (FAQ)

The Essentials version covers the vast majority of business processes (finance, sales, purchasing, project management, and warehouse management). The Premium version is an extension that includes advanced modules: Manufacturing and Service Order Management. Please note: licensing operates at the company level. If you enable Premium features within a given company, all full users who access it, including accountants and sales representatives, must have a Premium license.

The Team Members license is designed for individuals who need "light access". It entitles them to, among other things, read data from the entire system, update existing records, approve workflows, create customer quotes, and enter their own working time. However, if an employee needs to independently create and post new orders or invoices, they require a full license (Essentials or Premium).

In the case of shift work on physical terminals or POS stations, the most cost-effective option is to purchase a license assigned to a specific piece of equipment rather than a user. Thanks to the Device license, multiple employees across different shifts can use a single warehouse scanner or cash register, and you only pay for one device. For projects requiring over 100 such devices, Microsoft offers dedicated, reduced rates.

Not always. Microsoft offers a special "External Accountant" license. It allows up to three external accountants to be connected to a single company account (tenant) free of charge. If your accounting firm delegates more people to handle your company, the fourth person and each subsequent one will require a standard, paid full user license.

Yes. Users in your organization who have an appropriate Microsoft 365 plan can read data from Business Central directly within Microsoft Teams at no additional cost. However, keep in mind that this is read-only access. It does not allow logging in via a web browser (web client), using the mobile app, or editing data.

This is a very cost-effective Microsoft model for companies using multiple systems from the Dynamics 365 family. For example, if your sales director already has a full, expensive CRM system license assigned (Dynamics 365 Sales Enterprise), you can purchase finance access in Business Central for them at a fraction of the standard price (Essentials Attach). This rule also works the other way around if the base license is Business Central Premium.

The calculator allows for a quick and highly precise estimation of monthly software costs. However, the actual price and license selection will depend on the physically assigned security roles in the target system and your needs regarding so-called Copilot Credits (artificial intelligence tools). The calculation also does not include implementation services or potential paid extensions from third-party manufacturers (ISVs). We always recommend verifying these assumptions with an expert before making a final decision.
